Gift Card Tender

You can perform the following gift card transactions at POS:

  • Activate (sell) a gift card
  • Add value to an existing gift card
  • Redeem a gift card 
  • Check the balance on a gift card

Please note that in Prism 2.2.1 and later, you can activate a gift card in two different ways: 1) By listing the card as a line item on a transaction; 2) By going to the tender screen and activating the card as a tender. Prior to the 2.2.1 release, only the second method was available.

Permissions related Gift Card Items on Transactions
You can control the ability of employee group members to add gift card items to transactions via the following permissions. (Store Operations > Employee Management > Employee Groups) 

Permission Description
POS - Add Prepaid Gift Card When set to Allow, group members can add a Prepaid Gift Card item to a transaction.
POS - Add Stored Value Gift Card When set to Allow, group members can add a Stored Value Gift Card item to a transaction.
POS - Add Central Gift Card When set to Allow, group members can add a Central Gift Card item to a transaction.
POS - Change Central Gift Card Expiration Date When set to Allow, group members can manually edit the Expiration Date for central gift card it

Notes

  • All gift card types can only have Item Type of "Sale" on POS transactions. If the user changes the Item Type of one of the other items on the transaction that is not a gift card and chooses 'Apply to all items' or has the ‘Enforce single item type' preference enabled, all items are changed except the gift card items. 
  • The Gift Card number will be printed on the receipt (you may have to edit receipt designs to include the Card Number field). This is the Gift Card number that Prism receives back from the processor. It may be the whole number, ‘last 4' only or some other partial number.
  • (Global Payments) You can activate or redeem gift cards using either the Genius CED or an encrypted card reader (must be a Global Payments-approved encrypted card swipe that supports both credit and gift cards).
  • Gift Card items can only have a price greater than $0 when listed on a transaction. If you try to list a Gift Card item with a price of $0, you will receive an error.
  • Gift Card items can only be listed with a quantity of 1. Attempting to list a Gift Card item with a quantity greater than 1 will result in an error.
  • Gift Card Items have a ‘Max discount percentage' set to 0 programmatically. This is (re-) set upon saving the item. Even when editing and attempting to change the percentage, upon saving the item, the Max discount percentage is reset to 0. If you create gift card items with this 2.2.1 release and going forward, the Max discount percentage will be 0. If there are already gift card items in the system, those existing gift card items will be set to 100; we strongly urge you to reset the Max discount percentage of such items to 0. 
  • For gift cards not issued by Global Payments (formerly Cayan), when the CED/Genius is used, and a Gift Card Redemption Transaction is sent to the CED, the user MUST press the Gift button before the card is swiped. If this button is not pressed before the gift card is swiped, the user will see a 'Declined;1012' (or similar) error message. 
  • For Gift Cards issued by Global Payments/Cayan, the user does NOT need to press the Gift button on the CED/Genius Device.

Activate (Sell) a Gift Card
In Prism 2.2.1 and later, you can activate a gift card in two different ways: 1) By listing the card as a line item on a transaction; 2) By going to the tender screen and activating the card as a tender. Prior to the 2.2.1 release, only the second method was available.
To activate gift cards as a line item, you need to add one or more inventory items with the Inventory Type field set to the appropriate value: Gift Card - Prepaid or Gift Card - Stored Value. 

  • In the case of prepaid cards, you will typically define a separate item for each card denomination used (e.g., $20, $50, $100) and enter a Price for each. 
  • In the case of stored-value cards, you will typically define a single item of type Gift Card - Stored Value with a Price of 0.00. The Associate will be prompted to enter the Price (amount) of the gift card item when it is sold at POS. 

Note: Both prepaid and stored-value gift cards typically have the Tax Code set to a tax-exempt code.
Activate Gift Card as Line Item (Global Payments Genius)
1.    List a gift card item on the transaction. If prompted, enter the Price (amount) of the card. 
2.    Click Tender Transaction.
3.    Take payment for the card.
4.    Click Print Update (or Update Only). This triggers the Activate Card prompt. The customer swipes the gift card through the Genius CED. If successful, the gift card value is added to the card, the receipt prints and a new transaction form opens.
Activate Gift Card as Line Item (Adyen)
1.    List a gift card item on the transaction. If prompted, enter the Price (amount) of the card.
2.    Click Tender Transaction.
3.    Take payment for the card.
4.    Click Print Update (or Update Only).
5.    Control is sent to the Adyen PED. A modal in Prism says, "Waiting on Customer." 
6.    The customer swipes the gift card through the PED. The gift card value is added to the card. Control returns to Prism. The receipt prints and a new transaction form opens.
Activate Gift Cards as a Tender (Global Payments Genius)
On a new transaction click Tender Transaction.
Select Gift Card as the Tender Type.
Enter the amount of the gift card in the Take Amount field and click Purchase.
A prompt to swipe the card is displayed. 
Swipe the card through the encrypted card reader.
Take payment and print/update.
Active Gift Card as Tender (Adyen)
Start a new transaction and click Tender Transaction 
Select Gift Card in the Tender Type dropdown.
In the Take Amount field, enter the amount of the gift card being purchased.
Click the Purchase button. When you click the Purchase button, control is sent to the Adyen PED. You will see a modal in Prism that says, "Waiting on Customer."
The customer swipes the gift card through the PED. The Take Amount is added to the card. Control returns to Prism.
Take payment and then print and update the transaction.
Notes about activating gift card as tender:

  • If you have Adyen or Global Payments (formerly Cayan) configured, upon updating the transaction another EFT modal is displayed telling the Associate to swipe the card to activate it. The modal displays the gift card item's Description 1. If multiple gift cards need to be activated, additional modals will be displayed.
  • This is always processed as a card activation, not a reload. It is assumed that a customer purchasing a gift card item will be activating the card as well.
  • If using Global Payments, Global Payments loops back and processes this as a reload if it knows the card has already been activated. Adyen will simply fail.


Selling a Gift Card that exceeds the maximum value set in preferences
If the requested amount exceeds the allowed maximum, a prompt is displayed: "The requested amount exceeds the allowed maximum. Would you like to add the maximum value to this Central Gift Card?"

  •  If you click Yes, the requested amount will be added to the central gift card.
  • If you click No, only the amount that will bring the central gift card up to its maximum balance is added to the card.

Important! If the preference "Activate Gift Cards for Original Amount" (Node Preferences > Transactions > General) is enabled, gift cards can only be activated for the original amount at which the card was sold. If the preference is disabled, then gift cards can be activated for more than the original amount.
Duplicate Card Numbers
Users are not allowed to enter the same gift card number for multiple central gift card items on the same document. If they do they will be greeted with a red error message and will have to select the tender button again to get prompted to enter a different gift card.
Activate Gift Cards for Original Amount preference
A preference controls whether gift cards can be activated for an amount other than the original amount. 

  • If the "Activate Gift Cards for Original Amount" preference is enabled, gift cards can only be activated for the original amount at which the card was sold.
  • If the preference is disabled, then gift cards can be activated for an amount different than the original amount.

This preference is in Admin Console > Node Preferences > Transactions > General and it is disabled by default. Prepaid gift cards are activated for a specific amount (typically the original amount) and this preference can be useful if only prepaid gift cards are used. Stored-value gift cards are activated for varying amounts so the preference should be left disabled if stored-value gift cards are used.
Add Value to a Gift Card
In Prism 2.2.1 and later, you can add value to a gift card as a line item or as a tender.
Add Value to a Gift Card as Line Item (Global Payments Genius)
If a gift card is swiped through the Genius device, Genius will detect if the card is active already. Only via CED will Global Payments automatically switch from activation to reload. If the user selects Bypass, it will be a pure activation request and if the card was already active, the user will see an error. 
Add Value to a Gift Card as Line Item (Adyen)
For Adyen, when the card is swiped through the PED at any point, it will be a pure activation request. If the card was already active, users will see a message like "refused." 
Add Value to a Gift Card as Tender (Global Payments Genius)
On a transaction in progress, click Tender Transaction.
Select Gift Card as the tender type.
The Take Gift Card dialog is displayed.
Enter the amount being added and then click Add Value.
 A prompt to swipe the card is displayed.
Swipe the card through the encrypted reader.
Take payment and then Print/Update.
Add Value to a Gift Card as Tender (Adyen)
Start a new transaction and then click Tender Transaction.
Select Gift Card as the Tender Type.
Enter the amount being added in the Take Amount field.
Click Add Value. The Waiting for Customer prompt is displayed. 
 At this point, the customer swipes the gift card through the PED. The PED will show the amount added to the card.
Control switches back to Prism. The transaction form shows the Amount Due.
Select the Tender Type that will be used to pay for the valued added to the card and click Take.
Print and update the transaction.

Redeem a Gift Card (Take Payment with Gift Card Tender)
This sub-section has information about redeeming gift cards for Global Payments and Adyen merchant services.
Redeem Gift Card - Global Payments 
Select Gift Card as the Tender Type and click Take. 
When you click the Take button, the "Swipe/Keyed Credit/Bypass Device" menu pops up and you must select an option to continue. After selection, control shifts to the Genius CED, but you still have access to the "Swipe/Keyed Credit/Bypass Device" menu on the screen of the PC.

  • Swipe: If you select Swipe, a dialog asks if you want to use the "customer facing reader" This refers to the Genius CED device. Touch or click the Yes button to use the CED (or click No to use the encrypted card reader).  A second dialog is displayed (this one for the CED).   Swipe the card through the CED. Touch or click the Print/Update button.
  • Keyed Credit: If you select Keyed Credit, a screen like the one below is displayed. Enter the credit card info and click Next. When you click Next, the transaction is sent to Global Payments for processing.   
  • Bypass Device: Bypass Device indicates that you want to send the transaction information over Global Payments' proprietary transport protocol. A screen like the one below is displayed. DO NOT SWIPE THE CARD ON THIS SCREEN. Instead, click "Click here to key in card information."  When you click the link, a modal is displayed. Scan the card. Click Process. The payment is processed. If the transaction is approved, you will see an Approved message.  Control returns to Prism. The payment is listed on the tender screen. Click Print Update or Update Only.

Redeem Gift Card - Adyen
List the items being purchased. Click Tender Transaction.
Select Gift Card as the Tender Type.
Click Take.  
When you click the Take button, you will see a modal in Prism that says, "Waiting on Customer". Control switches to the PED. 
Swipe the gift card through the PED. On the PED screen, click the Take button.
When the transaction is approved, control switches back to Prism.
Print and update the transaction. 
Giving Change on Gift Card Transactions
Typically the amount deducted from the gift card (Take Amount) is the Total on the transaction. If the Take Amount exceeds the Total and change is due, the change amount will be displayed. Select Give and then select Print Update and return the change amount to the customer. 
Do Not Cancel Transaction after Card Swipe
If you cancel a transaction after swiping the gift card, the transaction will be canceled in Retail Pro but not Cayan. As soon as the card is swiped, the transaction is sent to Cayan (and typically approved). If the customer changes his/her mind about using a gift card AFTER the card has been swiped, then you must perform an item return first and then create a new transaction using the desired tender. 

Check Gift Card Balance
Global Payments
There are two ways to view a gift card's balance:
Click the Options button on the transaction form and select Gift Card Balance
Start a new transaction and click Tender Transaction. Select Gift Card as the Tender Type and then click the Balance button. A prompt to swipe the card is displayed. Swipe the card through the encrypted reader. The balance is displayed is displayed. Click Done.
Adyen
In Adyen, whichever method you choose to check a card's balance, you will see the Waiting on Customer modal. At this point, the customer swipes the gift card through the PED.

Manual Entry/PED Keyed Entry to check gift card balance with Adyen
If a gift card is damaged and unable to be swiped, click the Keyed Entry button on the "Waiting on Customer" modal in Prism. When you click Keyed Entry, a modal for manual card entry is displayed.
There are two choices:

  • The Associate types the Card No and clicks the Submit button
  • The Associate clicks the PED Keyed Entry button and the customer types the number into the PED

Note: The Card Type field is automatically set to the card type set in Prism Adyen Configuration screen (e.g., Stored Value Solutions or Givex).

When the response is returned from Adyen, a modal in Prism shows the card's balance.
Click Print to print balance or Cancel to return to the Prism transaction form.
