Node Preferences - Sequencing

Define the correct sequence numbers to use for your documents and other records is an important part of the Prism Getting Started process. There are two areas of preferences that need to be configured:

  • Preferences & Settings > Sequences: In this area, select which level of sequencing to use for each record type. You can have use separate sequences for each Sub, for each store, or for each Workstation.
  • Sub, Store, or Workstation Record: In this area, define the actual starting number for individual document sequences.

Important! Document sequencing does not replicate, whether set at the subsidiary, store, or workstation level. The correct sequence numbers must always be defined at the local installation.

Preferences & Settings > Sequences
In this area of preferences, select the level at which document sequences will be generated for various document types. You can define sequences at the Subsidiary, Store, or Workstation level. To define sequences, edit the appropriate Subsidiary, Store, or Workstation record. In RP Prism, when a user creates a new document, the document is immediately assigned a unique system ID (SID); however, the document sequence number is only assigned AFTER the document is updated.

Sequencing Prefs
The following table lists the available areas and options for Document Sequences.

Preference Description
Use single sequence for all orders If selected, a single document sequence will be used for all order types. If this check box is selected, then the "Order Sequencing Level" drop-down will be displayed.
If this check box is NOT selected, then the "Order Sequencing Level" drop-down is not included in the display. Instead, separate drop-downs will be available for Customer, Layaway, and Send Sale order types.
Sale Sequencing Level Select the level at which the document number sequence will be set for sale transactions: Subsidiary, Store, or Workstation
Return Sequencing Level Select the level at which the document number sequence will be set for returns: Subsidiary, Store, or Workstation
Order sequencing level (Only available if Use Single Sequence for All Orders is selected)
Select the level at which the document number sequence will be set for customer and layaway orders: Subsidiary, Store, or Workstation
Layaway Order (Only available if Use Single Sequence for All Orders is NOT selected)
Select the level at which the document number sequence will be set for layaway orders: Subsidiary, Store, or Workstation
Customer Orders  (Only available if Use Single Sequence for All Orders is NOT selected)
Select the level at which the document number sequence will be set for customer orders: Subsidiary, Store, or Workstation
Send Sale (Only available if Use Single Sequence for All Orders is NOT selected)
Select the level at which the document number sequence will be set for send sale orders: Subsidiary, Store, or Workstation
Disbursements Select the sequencing level for disbursements: Subsidiary, Store, or Workstation.
Purchase Orders Select the sequencing level for purchase orders: Subsidiary, Store, or Workstation.
Vouchers Select the sequencing level for vouchers: Subsidiary, Store, or Workstation.
ASNs Select the sequencing level for disbursements: Subsidiary, Store, or Workstation.
Transfer Slips  Select the sequencing level for disbursements: Subsidiary, Store, or Workstation.
Adjustment Memos Select the sequencing level for adjustment memos: Subsidiary, Store, or Workstation.
Transfer Orders Select the sequencing level for transfer orders: Subsidiary, Store, or Workstation.
Z-Out Select the sequencing level for disbursements: Subsidiary, Store, or Workstation.
ALUs Select the sequencing level for automatically generated Alternate Lookup identifiers.
UPCs Select the sequencing level for automatically generated Universal Product Codes.

Sub, Store, or Workstation Record
After selecting a sequencing level in Preferences & Settings > Sequences, go into the individual sub, store, or workstation record and edit the starting sequence number to the desired value.
