2.5.4.1307 What's New

Prism 2.5.4.1307 What's New PDF

This topic has information about new features and functionality added in Prism 2.5.4.1307. Some of the new features apply only to the new client (Prism App for Windows and Android) and some only to the legacy client. A few features, like Sales Quotes and Grid Exports, apply to both.
The table below has a brief description of each new feature or program change. The remainder of the topic has details about each feature listed in the table.

Feature Description
New Client
Home Screen/Landing Page (30632) When users launch and log in to the app, they are taken to a new Home Screen with links to the main application areas. Previously, a blank (live) transaction form was displayed.
Theme Editor (30631) A new improved Theme Editor enables merchants to easily customize the color scheme and branding of the Prism UI.
Sales Quotes (30300) Sales Quotes provide potential customers with price quotes for items if purchased before the Cancel Date.
Export Grid Data (30678) Users can export Prism data to Excel, .CSV, or TSV format for easier processing and analysis.
URI query‑string encoding/decoding (30602) Added URI query‑string encoding/decoding to prevent Web Application Firewall (WAF) from blocking requests containing logical operators
Time Clock (29963) The Time Clock feature allows you to track employees' hours by recording each time an employee checks in or out of Prism.
'Notes' in Transaction Lookup grids (29576) You can add the Notes -Order, Notes - Return and Notes - Sale columns to transaction lookup grids.
Improved error surfacing (30472) Errors in the new client are properly generated with links to server error response, parsed and raw. If an error occurs, you will see a prompt with a brief description
Go to TTK to manage user sessions (30164) When a Windows App login results in an 'Out of Seats' error message, the user now has an option to go into Tech Toolkit to manage (i.e., disconnect) user sessions.
Scanner support for camera on Android (30128) Support for scanning barcodes using camera on Android.
Legacy Client
Sales Quotes  (30300) The Sales Quotes feature is available in the Legacy Client.
Export Grid Data (30678) The Export Grid Data feature is available in the Legacy Client.
Set Max Central Gift Card Length independently for Central/Non-Central Gift Cards. (29563) Previously, changing Max Gift Card Number Length for one gift card type (central or non-central) automatically updated the setting for the other gift card type. Now, each setting operates independently.
Transaction Lookup by Bill To/Ship To Customer (28325) The Transaction Lookup filter has Bill To Customer/Ship To Customer buttons on the UI. This enables merchants to search for a transaction by either the Bill To Customer or Ship to Customer. Previously, only the Bill To Customer entry was searched.
URL Encoding of Query Parameters (30602) When sending API calls to the Apache server, Prism encodes the query string within the "QryEnc" parameter in the URL. Previously, API calls and parameters were in plain text in the URL. This change helps merchants who use customizations that send HTTP requests through a Web Application Firewall (WAF).
Copy Employee (28713) Users can copy an employee record. This is an easy way to create a new employee record.
Require all BOGO Rewards (30240) BOGO Promotions include a "Require All BOGO Rewards" setting (Reward Rules). When "Require All BOGO Rewards" is ENABLED, no discount will be applied until ALL items (buy + get) are scanned.
Coupon Code Length and Type (26427) Define the coupon code length and generate either numeric/alpha numeric or alpha character coupon codes. Previously, Prism could generate only 18-digit-long numeric coupon codes. The previous behavior also did not consider the common practice of using alpha numeric codes.
Replication Changes (30620) Cache subscriber (publishing) information.
MySQL 8.4.8 and 9.6.0 Support  (26047) Prism 2.5.4 supports MySQL 8.4.8, the current long-term release (LTR) and 9.6 (current release). Previously, Prism only supported up to MySQL 8.0.34. This change allows merchants to take advantage of security upgrades and other improvements in 8.0.35 and later.
Filter Inventory by Markdown Date (29484) Add Markdown Date to the Inventory Lookup filter.
Document Sequence Numbers for Special Orders (30569) Define the starting document sequence number for special orders.
Store Code Field in Transfer Verification (28638) From Store Code and To Store Code have been added to the Transfer Slips pane of Transfer Verification. Previously, only the Store Number field was available.
Central Gift Card Rollback - Deleted Tender Error Message (30594) Related to the "Cleanup of Central Gift Card Rollback Tables" feature implemented in 2.5.3 (#29278), it is possible users may try to update a Pending Transaction that includes a tender deleted from the Central Gift Card Rollback tables. Now, users will see an error message when trying to update a transaction that has one of these "orphaned" central gift card tenders.

2.2    Sales Quotes
Sales Quotes provide potential customers with price quotes for items (or services) if purchased before the Cancel Date.
Sales quotes are handled in a similar way to orders, except no deposits are taken. If the customer decides to make the purchase, the quote is fulfilled, (like an order), which turns the quote into a normal sale (at the quote price). Alternatively, a quote can be transformed into a customer order, layaway or a send sale.
Notes
•    Transactions designated as sales quotes can only have sales quote items; you can't mix and match item types.
•    Associate information is retained when fulfilling sales quotes.

2.7 Go to TTK to Manage User Sessions
DevTrack ID #30164
When a Windows App login results in an 'Out of Seats' error message, the user now has an option to go into Tech Toolkit to manage (i.e., disconnect) user sessions. Previously, there was no option to access the TTK to terminate/kill active sessions. Instead, the application only displayed a warning message stating: "There are no available sites and seats for this session."
Giving users the option to go to TTK directly from the app is especially important when the Prism Proxy (the usual method to access TTK) is not installed on the user's system.

POS - SALES QUOTE CREATE Allow group members to create sales quotes
POS - SALES QUOTE EDIT Allow group members to edit sales quotes.
POS - SALES QUOTE FULFILL Allow group members to fulfill sales quotes.
POS - SALES QUOTE FULFILL AFTER CANCEL DATE Allow group members to fulfill a sales quote after the Cancel Date.

3.2    Coupon Code Type and Code Length
DevTrack ID #26427
When auto generating coupon codes as part of coupon sets, you can define the length and generate either numeric/alpha numeric or alpha character coupon codes. Previously, Prism could generate only 18-digit-long numeric coupon codes, which some users found complex and difficult to enter. The previous behavior also did not consider the common practice of using alpha numeric codes.

3.3    MySQL 8.4.8 and 9.6 support
DevTrack ID#26047
MySQL users can upgrade to the 8.4.8 Long-Term Support (LTS) release of MySQL and then upgrade to the current 9.6.0 version if desired. Previously, Prism only supported up to MySQL 8.0.34.
Benefits of adding support for MySQL 8.4.8 and above:

  • Stores on MySQL versions above 8.0.35 can install Prism server updates
  • Merchants on MySQL 8.0.34 or below can upgrade MySQL and take advantage of security upgrades and other improvements in the 8.4.8 LTS release.

Requirements

  • Prism 2.5.4
  • Windows 11, Windows Server (2025, 2022, 2019)
  • The user doing the upgrade must have WRITE permissions to the C:\ProgramData\MySQL\MySQL Server 8.0\ folder.
  • Users cannot upgrade directly from 8.0.x to 9.6.0 Instead, users must first upgrade to the 8.4.8 Long Term Support (LTS) release. After 8.4.8 is installed, users can upgrade to 9.6.0.

Why can't I run the Configurator?
After installing MySQL files using the Installer, users are prompted to run the Configurator. Users upgrading from 8.0.x should NOT run the Configurator. This is because the MySQL Configurator will not install files to a Data path that has existing data.
The workaround requires:

  • Using msi to install files but skipping the Configurator
  • Manually changing folders/paths
  • Manually registering and starting the new service.  The new service will upon 1st run perform any required DB upgrades
  • Manually removing the old service

Documentation
See the RP Prism MySQL 8.0 to 9.6 Upgrade Process document on my.retailpro.com.

3.4    URL Encoding
DevTrack ID#30602
The API request URL that the Prism client sends to the Prism server now includes the "QryEnc" parameter that contains the encoded query string. Previously, API calls and parameters were in plain text in the URL. This change is especially important for merchants who use customizations that send HTTP requests through a Web Application Firewall (WAF). WAFs would sometimes drop these plain-text API calls (especially when query parameters contain certain keywords such as "AND", "OR", "NOT" or similar logical operators). Using the QryEnc parameter ensures safe transmission over the web.
Example:
/api/backoffice/customer?qryenc="base64-encoded query string goes here -> cols=*&filter=sbssid,eq,200299"

This change applies to the legacy client, new client and Technician's Toolkit.
The Prism Server will:
1) Detect the custom parameter QryEnc
2) Decode the query string accordingly before routing internally.
3.4.1 Limitations of URL Encoding
The query encoding is ONLY applied to API calls that target the RP Prism server. The encoding is skipped or ignored if the URL contains a DIFFERENT HOST. This includes:
1) EFT CED bypass that uses a different URL
2) The Prism web client is using a CDN or public URL for something
3) The Prism web client is accessing another Prism machine e.g., TTK connects to multiple Prism nodes and one of the machines may not have the same version to decode it.

3.5    Promotions - "Require all BOGO Rewards"
DevTrack ID #30240
BOGO Promotions now include a "Require All BOGO Rewards" setting (Reward Rules).

  • When "Require All BOGO Rewards" is ENABLED, no discount will be applied until ALL items (buy + get) are scanned.
  • When "Require All BOGO Rewards" is DISABLED (default), Prism will apply the reward if all the validations for the promotion are met.

BOGO Reward Rules:
 require all bogo rewards
3.5.1 Example
Consider the following example that shows how promotion priority is enforced when "Require All BOGO Rewards" is enabled.
1. Promotion A (Priority 1): Buy 5 Items and get 5 Items Free
2. Promotion B (Priority 2): Buy 3 items and get 2 Items Free
3. Promotion C (Priority 3): 10% Discount per Item

Applying the promotions at POS:
When the cashier scans:
Quantity 1-2: Promotion C triggered. 10% discount.
Quantity 3-4: Same behavior - 10% discount.
Quantity 5: Promotion B triggered. 3 full-price items, 2 free items.
Quantity 6: 3 full-price items, 2 free items + 1 item with 10% discount.
Quantity 7: 3 full-price items, 2 free items + 2 items with 10% discount.
Quantity 8: 3 full-price items, 2 free items + 3 items with 10% discount.
Quantity 9: 3 full-price items, 2 free items + 4 items with 10% discount.
Quantity 10: Promotion C triggered. five full-price items, 5 free items.
Quantity 11: 5 full-price items, 5 free items + 1 item with 10% discount.

If "Require All BOGO Rewards" is DISABLED
In the example above, if "Require All BOGO Rewards" is disabled, after the first three items are scanned, the validations for Promotion B are met. After the 4th item is scanned, one item is left valid for the promotional discount. If stock is insufficient or the customer does not want the 5th item, the customer would still be eligible for the discount on the 4th item.

3.6 Transaction Lookup - Bill To/Ship To Customer
DevTrack ID#28325
The Transaction Lookup filters now include Bill To Customer/Ship To Customer buttons on the UI.
This enables merchants to search for a transaction by either the Bill To Customer or Ship to Customer. Click the desired button, enter a First Name and/or Last Name and click the Search button. This is especially useful for merchants who use the Ship To Customer as the lookup criteria for orders. Previously, only the Bill To Customer entry was searched.
Default is Bill To Customer. If you change to Ship To Customer, the setting will be retained between sessions.

3.7    Export Grid Data
DevTrack ID#30678
Users can export Prism data to Excel, .CSV, TSV, or PDF format for easier viewing, processing and analysis. This provides merchants with additional flexibility when it comes to working with Prism data.

  • The "Export" button is visible in the upper-right of most areas when the grid results contain data.
  • Exports can be done for the Current Page, Custom Count, or All Records
  • This feature is affected by pop-up blockers. If the export doesn't seem to work, make sure pop-up blockers are disabled.

To export Data
1. The "Export" button is in the upper-right of many Prism areas that display grid data. Click the Export button.
2. Select an export format and number of records to export.
3. The file is saved to the \Downloads\ folder with a date/time stamp included in the File Name.

3.8     Central Gift Card Rollback Table - Deleted Tender Error Message

DevTrack ID#30594
When the "Cleanup of Central Gift Card Rollback Tables" feature was implemented in 2.5.3 (#29278), it was possible to update a pending transaction that includes a tender deleted from the Central Gift Card Rollback tables. However, there was no indication to the user of the deleted tender. Now, users will see an error message when trying to update a transaction that has one of these "orphaned" central gift card tenders.
"A central tender is too old. Please void and renter it."
If you see this error message when trying to update pending transaction with a central gift card tender, void the central gift card tender, then enter a new central gift card ID or choose a different tender type.

3.9     Max Central Gift Card Number Length
DevTrack ID#29563
Merchants can define the Max Gift Card Number Length independently for central and non-central gift cards in Node Preferences > Transactions > Tenders > Requirements. Previously, entering a number in one of the fields automatically changed the number in the other field.

  • The Max Gift Card Number Length for both Central and non-Central Gift Cards is 26 characters.

Admin Console > Node Preferences > Transactions > Tenders > Tender Requirements > Max Central Gift Card Number Length:

3.10     Copy Employees
DevTrack ID #28713
You can copy employee records. This is useful for onboarding new employees who will have the same or similar configuration (e.g., Store Assignments, Group Assignments) as an existing employee.
1.    Use Employee Lookup to find and display the record you want to copy.
2.    Click Copy on the bottom menu.
3.    Modify the employee information as needed. First Name, Last Name, User Name required.
4.    Activate the record.
5.    Save the changes.
3.10.1 Employee information that IS COPIED
Base Subsidiary, Job Title, Till, Drawer, Max Disc %, POS Cashier Flag, POS Associate Flag, Home Store, System Admin Flag, UDF Values, Store Assignments, Group Assignments.
3.10.2 Employee information that is NOT COPIED
Username, First Name, Last Name, Active, Require Password Change, Addresses, Phone Numbers, Emails.

3.11    Cache Publishing (Subscription) Information
DevTrack ID#30620
Prism now stores subscriber information for Day-to-Day (D2D) replication in the memory cache rather than recording it for each message in the DB tables. This helps streamline replication and avoid bottlenecks. The subscriber memory cache is refreshed (by default) at 5-minute intervals.
Background
Replication in Prism consists of several parts that work together to move data from the sending (producer) system to the receiving (consumer) system.

  • Programs (PrismMQ, RabbitMQ, PrismMQPublisher, PrismMQProducer, PrismMQConsumer)
  • Tables in the Prism DB that hold data used for/during the replication process.
  • Configuration Settings (PrismMQService.ini)

Previous Behavior
1. When PrismMQ was inserting events in the pub_dataevent_queue it also inserted a destination for each potential destination in the pub_notification_queue table as well.  So one entry for each existing active remote connection for each event (new or change to existing data).
2. When Publisher was taking the event from the pub_dataevent_queue and publishing data to the Producer_cache tables it would put insert the message in the producer_cache table and add a linked entry in the producer_cache_destination table for each destination that that message was to be delivered too.
3. Producer would pick up the message and the destination for each message based on the data in producer_cache & Producer_cache_destination tables.  Then post the appropriate queues in RabbitMQ.

Change
1. PrismMQ will only insert events in the pub_dataevent_queue when changes are made to the data in the system.
2. When Publisher is creating a message and posting it into the producer_cache table, no destination entries are added to the producer_cache_destination table unless the RMQ message limit has been exceeded (i.e. offline).
3. Producer will regularly load the subscribers and subscriber profiles into memory. Using that information it will then deliver the messages from the producer_cache to the appropriate queues in RabbitMQ.

Database Tables Checked
When determining what queue in RabbitMQ to send what messages to, PrismMQProducer checks 4 tables in the database:

  • REMOTE_CONNECTION: Holds information about all the connections this system communicates with (Connections in Connection Manager).
  • REM_SUBSCRIPTION: All communication profiles in Connection Manager.
  • REM_SUBSCR_RESOURCE: All active Resources in each Communication Profile.
  • REM_CONNECTION_SUBSCRIPTION: Which Remote Connection is subscribed to which Profile(s).

PrismMQProducer.exe checks these four tables every 5 minutes and keeps this in memory.
Solution
The 4 publishing tables are now stored in memory. PrismMQProducer pulls the information from the cache instead of doing a table lookup, which speeds up the process of moving data to the destination queue. Note: Caching of subscription information is always on. It cannot be turned off.
PUBLISHCACHEREFRESHTIME in PrismMQService.ini
By default, the cache is refreshed every five minutes. You can change the default refresh time by modifying the PUBLISHCACHEREFRESHTIME setting in the PrismMQService.ini file. For example, you can change it from 5 to 1 to have the cache refresh every 60 seconds (one minute).
Changes to subscribers in the Connection Manager will not take effect until the next time the subscriber cache is refreshed, or Prism Replication Service restarts.

3.12    Filter Inventory by Markdown Date
DevTrack ID #29484
Markdown_Date has been added to the grid formats for Inventory-Lookup and Advanced-Item-Lookup within POS Documents. This allows searching Inventory for items marked down within a certain date range and viewing each item's Markdown Date in the search results grid.
Add Markdown Date to Grid Formats
The Markdown Date element is not included in the default screen designs. You can add Markdown Date to the "Allow Search By" and "Show Columns" lists by editing Grid Formats preferences.
1.    Navigate to Admin Console > Node Preferences > Grid Formats (Legacy).
2.    Move the Markdown Date field from the "Available" list to the "Selected" list and reposition as needed.
3.    Save the changes.

3.13     Document Sequence Number for Special Orders
DevTrack ID#30569
You can define the starting document sequence number for special orders. Previously, there was no way to define a separate document numbering sequence for special orders. This change gives merchants greater flexibility when it comes to document numbering.
1.    Navigate to Admin Console > Node Preferences > Sequences. Clear the Use Single Sequence for All Orders checkbox and select the desired level at which you want to define sequence numbers for special orders.
2.  Save the changes.

4.    Database Changes
4.1    DOCUMENT_ITEM.ITEM_TYPE=6 (Quote Item)
DevTrack ID #30300
As part of the Sales Quotes feature, there is a new ITEM_TYPE value in the DOCUMENT_ITEM table.
ITEM_TYPE=6 (Quote Item)
