Customer ID
The Customer ID field is used to track customers.
- Define starting Cust ID sequence number in Prism preferences (sub, store, or WS record). Once a starting sequence number is defined, customers will be assigned the next number in the sequence. Customer ID number sequences can be defined at the subsidiary, store, or workstation level.
- A preference enables retailers to use duplicate Customer IDs. If disabled (default), duplicate Customer IDs are not allowed.
- A preference enables making the Customer ID a "required" field for new customer records.
- The Customer ID field in customer records can be edited
Customer ID Sequences
When a new customer is created in Prism, the customer will be assigned the next number in the sequence, as defined in Prism Preferences. Customer ID sequences can be defined at the subsidiary, store, or workstation level.
- In the Admin Console, select the Node Selection link.
- Drill down to the desired subsidiary, store or workstation. Click the Edit button for the desired subsidiary.
- Select the Sequencing tab.
- Navigate to the Next Customer ID field and enter the desired number.
- Click the Save and Exit button.
Customer ID Preferences
These preferences are located in Preferences & Settings > Customers.

| Allow Duplicate Customer IDs | If selected, duplicate Customer IDs are allowed. If the preference is not selected (default), when a user tries to edit the Cust ID field to a number that would be a duplicate, an error message is displayed. |
| Append Installation ID to Customer ID |
If selected, when Retail Pro assigns a Customer ID to a new customer, the Installation ID is appended to the Cust ID (next available sequential number). If not selected, the next available sequential number is assigned as the Cust ID. |
Editing Customer ID
You can edit the Customer ID field for individual customers. This might be necessary to prevent a duplicate, for example. As with all edits to customer records, this action requires the "Edit Customer" group permission.
- Use Customer Lookup to display the record.
- Select the Contact tab.
- Click the Edit button.
- Click in the Customer ID field and change it to the desired number.
- Click Save.
Searching for Customer on Transaction by Customer ID
On a transaction, you can search for a customer by Cust ID. When searching by Customer ID, enter the exact number (no partial matches).
