Stores

Prism uses a Subsidiary/Store/Workstation hierarchy. This topic has information about working with store records.
When you initialize Prism, the store records for the subsidiaries included in the initialization are copied to the Prism server.

Add/Edit Stores
To add/edit a store record, in Admin Console > Node Preferences > Node Selection, drill down to the desired store. When adding/editing a store, enter details for the store in the Store Information dialog. Save the changes.
The ability to add a new store is controlled by the "Admin Console - Create Store" permission. Remember that Store Assignments for Employees take precedence over permissions. In practical terms, this means an employee may have the "Create Store" permission and be able to create a new store; however, that employee may not be able to see the store just created unless the employee's Store Assignments have the entire Subsidiary selected or the user is a sysadmin user. Sysadmin users can see all newly created stores.
If the employee's Store Assignments has the Subsidiary selected, any new stores added are automatically added to the visible Stores list. If the employee only has individual stores within a subsidiary selected, then each store must be enabled to become visible.

Store Fields

Field Description
Store Number (read-only) The new store is assigned the next sequential number available and the number cannot be edited. Store number limitations: Highest Store is #999, No Negative Store Numbers.
Store Name (required) Enter a name for the store.
Store Code The store code that identifies the store. The Store Code is a three-digit number that is unique to each subsidiary. That is, there can only be one store 001 per subsidiary.
Subsidiary The subsidiary to which the store is assigned.
Tax Area The tax area that determines the tax rate used on transactions created at the store. Default = none
Price Level You can select to override the global price level setting. Default = installation default
Active Active status. Users can only create transactions at active stores.
Address 1 House number and street name (e.g. 123 Main Street)
Address 2 Suite or apartment number (e.g. suite 200)
Address 3 City and state abbreviation (e.g. San Francisco, CA)
Address 4 to Address 6 Additional address fields that can be used for complex U.S. addresses or foreign addresses.
Fiscal Code Used to store information required for fiscal documents. Note: The Fiscal Code field can store the Site Code used by SAP
Store Type Each store can be assigned a Store Type. The Store Type enables retailers to identify different types of stores within the enterprise (e.g., standard, kiosk, outlet). In Prism 2.x and above, users manage store types via UI elements on store records. To access a store record, navigate to Admin Console - Node Preferences - Node Selection - [Subsidiary] - [Store]. (In Prism 1.14.7 and earlier, users defined Store Types in RIL (or Retail Pro 9) preferences and used data replication to copy the store types to Prism.)
The drop-down in the Store Type field enables users to assign a store type to the currently displayed store. The plus icon in the Store Type field enables users to add new store types. The edit button (pencil icon) enables users to edit and delete store types.
ZIP/Postal Code Enter the ZIP or Postal Code for the store address (e.g. 95630)
Global Store Code Global Store Code. Multiple subsidiaries may use the same numbering scheme for stores. The global store code field can be used to enter a unique number (e.g., a concatenation of subsidiary and store like "003001" for Subsidiary 3, Store 1.

Prism supports 999 stores per subsidiary.

Employee Store Assignments
To create a transaction at a store, the store must be assigned to that employee's record. You can edit employee store assignments in the employee record of individual employees.

Changing Store on Documents and Records
Users with the required permission can change the store on individual documents and records. This enables the user to create a document or record for a store other than the default store assigned to the user's workstation.

Store Types
Each store can be assigned a Store Type. The Store Type enables retailers to identify different types of stores within the enterprise (e.g., standard, kiosk, outlet). Assign Store Type to Store
Assign a store type to a store by selecting the desired type from the drop-down in Admin Console - Node Preferences - Node Selection - [Sub] - [Store].
Add New Store Type
To add a new store type and assign it to a store, navigate to the desired Store record. Click the Edit button. In the Store Type area, click the plus icon button.

Enter the store type (maximum xxx characters). The new store type is automatically selected in the Store Type drop-down to the store. Save the changes. The new store type is saved along with the store type assignment.
Edit Store Type
To edit a store type, navigate to the desired Store record. Click the Edit button and modify and needed. Save the changes.

Delete a Store Type
To delete a store type, the store type cannot be assigned to any store records. If you try to delete a store type that is assigned to one or more stores, a red error message is displayed.

To delete a store type, users must do the following (at each store to which the store type is assigned):
1. Display the store record of the store to which the store type is currently assigned.
2. Select a different store type from the drop-down.
3. Save the changes. The user is returned to the list of stores.
4. Click the Edit button for the desired store.
5. In the Store Type drop-down, select the type that you want to delete.
6. Click the Edit button in the Store Type field.
7. Click Delete. The store type is deleted (assuming it is not still assigned to another store).
8. Save the changes.
